Organize records with tags

Tags are free-text labels you attach to jobs, quotes, clients, invoices, and employees to keep records organized. Add tags like Commercial, Builder, Insurance Claim, Repeat Client, or VIP — then filter any list to show only matching records.

  1. Open the job or quote.
  2. Scroll to the Tags field (labeled “Tags(Select from list or type to add new)”).
  3. Click the field and type a tag name or select an existing one from the dropdown.
  4. Press Enter or select from the list to add the tag.
  5. Add as many tags as needed.
  6. Click Save.

Tags you type are saved and appear as options for future records, so your team can reuse consistent tags without retyping.

On any list view (Jobs, Quotes, Clients), use the Tags filter at the top to narrow the list to records that match one or more tags.

What kinds of tags work well for a flooring retailer?

Common useful tags: Stairs, Commercial, Residential, New Construction, Builder, Insurance Claim, Pet Damage, Special Order, Mill Direct, Repeat Client, Walk-in, Hardwood, LVP, Carpet, Tile. Tags work best when they answer a question you actually filter or report on regularly.

How is a tag different from a custom field?

Tags are simple, free-form labels — many per record, fast to add. Custom fields are structured (Text, Number, Dropdown, etc.) and capture specific values. Use tags for soft grouping (“which jobs are commercial?”); use custom fields for data you need to capture consistently (“what’s the install address gate code?”).

Can different teams have their own tags?

Tags aren’t role-scoped — once anyone creates a tag, the whole team can see and reuse it. If you want team-specific organization, use a naming prefix (Sales: Hot Lead, Install: Tricky Stairs) so tags stay readable even when shared.

Why do “Urgent” and “urgent” show as separate tags?

Tags are case-sensitive. Capitalization, hyphens, and spaces all matter. Most retailers pick a convention (Title Case is common) and train staff to follow it.

Can I delete or rename a tag?

Tags created by typing aren’t editable as a separate object — they exist on the records that use them. To rename, find every record using the old tag and replace it. To “delete,” remove the tag from all records that use it; once it’s not on any record, it stops appearing in dropdowns.

How do tags interact with reports?

Tags appear as a filter on most list views (Jobs, Quotes, Clients, Invoices) and on saved reports. Tag-based filtering is the fastest way to slice your pipeline by category without building a custom report.

Are tags visible to clients?

No — tags are internal-only. They don’t appear on quote PDFs, invoice PDFs, or anywhere the client sees.
