Convert a quote to a job

Once a client approves a quote, you can convert it into a job in one click. Line items, pricing, client details, and any deposit paid are carried straight across — no retyping.

The quote must be in Approved by Client status (or manually approved by your team). Quotes in Draft or Awaiting Response cannot be converted yet.

  1. Open the approved quote from the Quotes list (click the pencil icon in the Actions column).
  2. Click More Actions in the top-right → Convert To Job.

The job is created automatically and opens in edit mode with the quote’s details pre-filled.

  1. Review the auto-filled job details:
    • Client and install property
    • Line items and pricing from the quote
    • Any deposit already collected at quote approval
  2. Set the Start Date, End Date, Start Time, and End Time in the Calendar section, or tick Schedule Later to add dates later.
  3. In Assigned To, pick the installers or measurers doing the work.
  4. (Optional) Add internal notes for your team.
  5. Click Save at the bottom.
  • A new job is created and linked to the original quote.
  • The quote is marked as Converted so it can’t be converted twice by mistake.
  • The job appears in your Jobs list and on the team calendar if dates are set.
  • When you generate an invoice from this job later, it includes the same line items and applies any deposit that was paid at quote approval.
Can I convert a draft quote that the client hasn’t approved?

No — only quotes in Approved by Client status (or manually approved by your team) can be converted. If the client approved verbally, mark the quote approved internally before converting.

What if the client wants to change the scope after I convert?

Edit the job, not the quote. The quote should stay as the original record of what the client signed off on. If the change is significant — added rooms, swapped padding — record the scope change as updated line items on the job, or use More ActionsCreate Similar Quote on the original quote to draft a revised version and have the client re-approve.

Does the deposit on the quote carry over?

Yes. Any deposit collected at quote approval is linked to the job and automatically reduces the Balance Due when you invoice from that job later. You don’t need to re-enter it.

Can the same quote be converted to multiple jobs?

No — once a quote is converted, it’s marked Converted and locked from being converted again. If you need to split the work into phases (e.g., living room first, bedrooms next month), create the job and adjust line items to cover only the first phase, then create separate jobs as needed for the remaining phases.

Do I have to schedule the job at conversion time?

No. Leave the dates blank and check Schedule Later to convert now and schedule when you have a confirmed install date. The job will sit in your Jobs list as Open with no calendar entry until you add dates.

What happens to the quote PDF the client received?

It stays valid as a record. The client’s link to the original digital proposal continues to work — they can re-open it for reference. The status now shows Converted so they know the work is moving forward.
