Archive a quote
Over time your quote list fills up with proposals that went nowhere — the client never responded, went with someone else, or the project stalled. Archiving moves those quotes out of your active list without deleting them, so the list stays focused on live deals. You can bring an archived quote back anytime.
Archive a quote
Section titled “Archive a quote”- Open the quote you want to archive.
- Click More Actions in the top-right.
- Click Archive.
- Confirm in the dialog (“Are you sure you want to archive this quote?”) by clicking Confirm.
The quote is archived immediately and drops out of your default quote list.
What changes when a quote is archived
Section titled “What changes when a quote is archived”An archived quote is read-only — it’s parked, not active. While archived, it can’t:
- be approved
- collect a deposit
- collect a client e-signature
- be converted to a job
- create a purchase order
- be refunded
If you hover over one of these actions on an archived quote, Service Buddy tells you why it’s unavailable. To act on the quote again, unarchive it first.
Find archived quotes
Section titled “Find archived quotes”Archived quotes are hidden from the quote list by default. To see them:
- Go to the Quotes list.
- Open the Status filter.
- Choose Archived to see only archived quotes, or All to see everything including archived.
Unarchive a quote
Section titled “Unarchive a quote”- Find the archived quote (use the Status filter above).
- Open it and click More Actions → Unarchive.
- Confirm in the dialog by clicking Confirm.
The quote returns to your active list with all its actions available again.
What’s the difference between archiving and deleting a quote?
Archiving hides the quote but keeps it — you can unarchive it anytime and all its details are intact. Deleting removes it. Archive when there’s any chance the deal comes back or you want the record for reference; delete only for genuine mistakes (a duplicate, a quote on the wrong client).
Can the client still see an archived quote?
If you’d already sent them a digital proposal link, treat archiving as an internal housekeeping action — archive it once the deal is clearly dead so it’s out of your way. Archiving doesn’t approve, decline, or change the deal; it just removes the quote from your active list. To stop a client acting on a live proposal, follow up with them directly.
Can I edit an archived quote?
No — archived quotes are read-only. Unarchive it first, make your changes, then archive it again if you still want it parked.
Does archiving affect my reports?
Archiving is about keeping your working list tidy; it doesn’t delete the quote or its history. The quote still exists, so reporting on quotes you’ve sent and their outcomes is unaffected.
Can I archive several quotes at once?
Archiving is done one quote at a time from its More Actions menu. For a big cleanup, filter the list (for example, old quotes still in Awaiting response) and work through them.
