Schedule a task
Tasks let you schedule work items for your team with specific dates and times. They appear on the calendar alongside jobs.
Create a task
Section titled “Create a task”- Click Calendar in the left sidebar.
- Click + Create and select Task from the dropdown.
- In the Task For field at the top, click Select and choose Lead, Client, or Team Member, then pick the specific record. This is required — the Save button only appears once a record is selected.
- Fill in the Task Details:
- Title — a short name for the task
- Description — optional details about what needs to be done
- In the Assigned To section, click Select to assign one or more team members.
- In the Schedule section, set:
- Calendar Color — to color-code the task on the calendar
- Start Date and End Date
- Start Time and End Time
- Check All Day if no specific time is needed
- Click Save.
Edit an existing task
Section titled “Edit an existing task”- Open the Calendar and click the task you want to update.
- Update the title, description, assignees, or schedule as needed.
- Click Save.
What’s the difference between this and Create a task?
They’re the same flow — both create a scheduled task. This article focuses on the scheduling fields (start/end time, all-day toggle); Create a task covers the broader workflow including linking and assignees.
Should I use All Day or specific times?
Use specific times for anything date- and time-sensitive (a measure at 10am, a delivery at 2pm). Use All Day for things that just need to happen sometime that day (vendor pickup, inventory count, sample swap).
Can I extend a task across multiple days?
Yes — set the Start Date and End Date to different days. Useful for multi-day installs, training events, or trade shows. The task spans those days on the calendar.
What happens if I set a start time later than an end time?
Service Buddy will reject it — End must be after Start. Adjust the times so they make sense, or check All Day if exact times don’t matter.
Can I move a task to a different day after creating it?
Yes — open the task and update the Start/End dates, or drag the task on the calendar in Week or Day view to a new slot.
What if a task doesn’t have an exact deadline?
Leave the Schedule fields blank or check All Day. The task lives in the Unscheduled panel until you give it a date — useful for catching things you want to remember but haven’t pinned down yet.
