Send an invoice to a client
Once an invoice is ready, send it to the client by email. The client receives a link to view the invoice online and pay directly from the page.
Send by email
Section titled “Send by email”- Open the invoice from the Invoices list (click the pencil icon in the Actions column).
- Click Notify Client.
- Select Send as email from the dropdown.
- Review the pre-filled recipient email in the To field.
- Edit the Subject and message body if you want to personalize it.
- Optionally attach additional files.
- Click Send.
Send by text
Section titled “Send by text”- Open the invoice.
- Click Notify Client.
- Select Send as text from the dropdown.
- Review the details and confirm.
What happens next
Section titled “What happens next”- The client receives the email or text with a link to the invoice.
- On the invoice page they can review the details and click Pay Now (if BuddyPay is set up).
- They can also Download PDF from the client-facing invoice page.
- When the client pays, the invoice updates to Paid automatically.
Automatic payment reminders
Section titled “Automatic payment reminders”To avoid chasing overdue invoices, enable automatic reminders in Settings → Invoice → Invoice Reminder. You can set how many days after the invoice is sent the reminder fires.
Can I send an invoice by text instead of email?
Yes — choose Send as text from the Notify Client dropdown. The client gets an SMS with a link to the same online invoice page. Useful for clients who don’t check email often, or for follow-ups when an emailed invoice has been ignored.
Can I edit the email message before it goes out?
Yes — the Subject and message body are editable on every send. Either tweak it in the moment or save a default in Settings → Invoice so every invoice goes out with your standard wording.
Can I attach extra files to the email?
Yes. Use the attach button in the Notify Client dialog to add a PDF, photo, or other file — useful for sending a detailed scope of work, before/after photos of the install, or warranty documentation alongside the invoice.
Does the client need an account to view or pay?
No. The link in the email opens a public, no-login invoice page. Clients can view the invoice, download a PDF, and pay through BuddyPay (if it’s set up) without creating any kind of account.
How do automatic reminders work?
Turn them on at Settings → Invoice → Invoice Reminder and set how many days after the invoice is sent the reminder fires. Reminders use the same email address on file and stop firing automatically once the invoice is marked Paid.
How do I tell if the client has opened the invoice?
The invoice’s activity log shows when the email was sent and when the public link was first viewed. If the email was sent but the link has never been clicked, that’s usually a sign to resend or follow up by phone.
Can I send the same invoice to more than one email?
The default Notify Client flow sends to the email on the client record. To CC additional people (a billing contact, a partner, an accountant), add them under Additional Contacts on the client profile and they’ll be included on subsequent sends. See Manage sub-clients and additional contacts.
