Send a digital proposal
Digital proposals replace paper and PDF quotes. Send one by email or text, and your client can review, approve, and even pay a deposit directly from their browser.
- Open the quote from the Quotes list (click the pencil icon in the Actions column).
- Click Notify Client.
- Choose how to deliver it:
- Send as email — sends the proposal to the client’s email address.
- Send as text — sends a link to the proposal to the client’s mobile number.
- For email: review the pre-filled To address, edit the Subject and message body if needed, and optionally attach files.
- Click Send.
What happens next
Section titled “What happens next”- The quote status changes to Awaiting Response.
- Your client receives a link that opens the proposal in their browser — no login needed.
- They can approve, request changes, or decline the quote.
- On approval, they can pay any required deposit through BuddyPay.
- The quote status updates automatically when the client takes action.
If the client requests changes
Section titled “If the client requests changes”When the client requests changes, the quote moves to Changes Requested status. Open the quote, make the edits, and click Notify Client again — the status resets to Awaiting Response and the client gets the updated version.
What’s the difference between a digital proposal and a PDF quote?
A digital proposal is the same quote delivered as a clickable link instead of a PDF. The client opens it in a browser, sees the line items rendered cleanly, and clicks Approve, Request Changes, or Decline — and pays a deposit if one is required. A PDF is just a static document; a digital proposal is interactive and tracks the response automatically.
Can the client sign electronically?
Yes — when a client approves a digital proposal, they’re prompted to add an e-signature, which is recorded with the quote. That gives you a documented, time-stamped acceptance you can refer back to if there’s ever a dispute about scope.
Does the client need to create an account to approve?
No. The proposal link opens a public, no-login page. The client reviews, approves, signs, and pays — all without signing up for anything.
Can I see when the client has opened the proposal?
Yes — the activity log on the quote shows when the link was first viewed. If a proposal was sent days ago and never opened, that’s the cue to follow up.
What if the client wants to discuss changes before approving?
They can use Request Changes on the proposal page to send a comment back. The quote moves to Changes Requested status, you make the edits, and click Notify Client again — the proposal resets to Awaiting Response and the updated version goes to the client.
Should I send proposals by email or text?
Both work — email is better for the full quote breakdown (most people review on a larger screen), text is better for follow-ups (open rates are higher). A common pattern: email the original proposal, and if you haven’t heard back in a day, send a text with the same link.
What if the client never responds?
The quote stays in Awaiting Response indefinitely — there’s no auto-expiration. You can resend by opening the quote and clicking Notify Client again, or follow up by phone.
