Export report data

Any report in Service Buddy can be exported as a CSV file for use in spreadsheets, accounting software, or sharing with your team.

  1. Open the report you want to export.
  2. Set your date range and filters so the report shows exactly the data you want.
  3. Click Export at the top of the page.
  4. In the export dialog, check or uncheck the columns you want to include. All columns are selected by default.
  5. Click Export — the file downloads to your computer as a CSV.
  • Email it: Attach the downloaded file to an email from your regular email app.
  • Upload to your accountant: Most accounting software can import a CSV directly.
  • Keep it for records: Save exports to a shared drive folder for monthly or quarterly archives.
  • Every row that matches your current filters.
  • Every column shown on screen.
  • Totals at the top of the report appear at the top of the CSV.
  • Dates and currency formatting follow your account’s locale settings.
  • The export file is a snapshot of the data at that moment. If invoices change after you export, the export does not update — you will need to re-export.
  • Service Buddy does not keep a copy of the file — once downloaded, it lives on your computer.
  • For month-end bookkeeping, export Invoices, Payments, and Deposits for the previous month as CSV and hand them to your accountant. That covers most accounting needs.
  • If you are comparing two date ranges, export each one with a clear file name (for example, revenue-2026-Q1.csv vs revenue-2026-Q2.csv) so you do not mix them up.
  • Export column selection is remembered per report — deselect columns you never need to keep future exports clean.
What format does the export use?

CSV (comma-separated values). It opens in Excel, Google Sheets, Numbers, and most accounting software. Some exports also support PDF for human-readable summaries (sales tax filings, monthly P&L summaries).

Why does my exported CSV look weird in Excel?

A few common causes: (1) regional settings — semicolon vs comma delimiter; (2) date formatting — Excel sometimes auto-converts dates; (3) leading zeros — Excel strips them from things like account numbers. To fix, use Data → From Text/CSV in Excel rather than double-clicking the file.

Can I export everything, not just what’s filtered?

The export includes only what’s visible based on your current filters. To export everything, clear all filters first. To export multiple data sets, run separate exports — there’s no “export all reports” button.

Is the export the same as a backup?

No — exports are point-in-time snapshots of one report. They’re not a complete backup of your account data. If you need a full data backup for migration or audit purposes, contact support.

Can I export to a Google Sheet directly?

Not directly — download the CSV first, then in Google Sheets use File → Import → Upload. Most users find this fast enough that an automated direct connection isn’t necessary.

Can I include hidden or custom fields in the export?

Yes — in the export dialog, check the columns you want included. Custom fields appear in the column list and can be checked or unchecked just like standard fields.

How do I send an export to my accountant?

Most retailers email the CSV directly. For larger files or recurring sharing, upload to a shared drive (Google Drive, Dropbox) and grant access to the accountant’s email. For QuickBooks specifically, see Sync invoices to QuickBooks — it’s more direct than exporting and importing.

Should I keep old export files?

Some retailers archive exports monthly as a redundancy (“if Service Buddy ever has a problem, I have my data”). It’s not strictly necessary but doesn’t hurt. Keep them somewhere secure since they contain client and financial data.
