Your team is the engine that gets jobs done. This section covers how to add employees, control what they can see and do, and reward them with commissions when jobs close or invoices get paid.

Common questions

- Admin — account owner (full access; reserved for the owner only).
- Admin Staff — office managers, schedulers, dispatchers.
- Office Staff — day-to-day operations team.
- Sales Staff — sales associates focused on quotes and leads.
- Field Worker Staff — in-house measurers/estimators, limited to their own assigned jobs.
- Installer — in-house install crews, limited to their own assigned jobs.
- Accounting Staff — finance, AR/AP, payroll.
- Marketing Staff — marketing and campaigns.
Where do flooring commissions usually land?
Common: 5–10% to the sales associate who closed the sale, calculated on the invoice paid amount minus tax and discounts. Installers paid by piece-rate (per sq yd, per stair) outside the commission system. Top performers may have a higher per-employee rate. See Set up a commission plan.
When should commissions be triggered — at job close or invoice paid?
Most retailers trigger on invoice paid to avoid paying out on revenue that hasn’t actually been collected. Trigger on close only if you want faster payouts and accept the clawback risk on later refunds.
How do I handle subcontractor installers?
Add them on the External tab in Manage Team. External members don’t get a Service Buddy login — they’re stored as contact details that you pick when generating a Work Order for a job they’re handling. Typically paid per completed job by separate contract rather than commission.
Can I see how each salesperson is performing?
Yes — filter the Jobs or Invoices reports by Assigned To for revenue, or open the Commissions report for commission specifically. See View built-in reports.
What happens if an employee leaves?
Delete their record (which deactivates their login and removes them from new assignments). Their name stays on past jobs, invoices, and commission reports for audit purposes. Earned commissions stay on the report — pay them out per your employment agreement.
